Digital Transformation | Work Management
Creative requests arrived by meeting, call, text, and email, then scattered across JotForm, Basecamp, AirTable, Easy Insights, and Excel. No one could see the full workload, and most days were spent reacting.

Context
When I started building the new team in 2016, I ran project management myself on a free, self-taught JotForm setup, adding AirTable as volume grew. It was simple and crude, but it worked. As demand grew, I changed the approach and brought the team’s first dedicated project manager on board in mid-2017, followed by more PMs. Basecamp came in for projects and communication, with Easy Insights layered on for leadership reporting. The more the work grew, the harder it became to build and maintain each tool and to get them all to talk to each other. Requests still arrived through meetings, calls, texts, and emails, and no one, from the team to the C-suite, could see all the work in one place.
Action
I saw that another tool wouldn’t fix it. The organization needed one system built around how work actually moved. I built a requirements checklist, evaluated multiple vendors, and backed the recommendation with a formal ROI analysis. Vendor training covered only the basics, so I configured the platform almost entirely myself, including the automations that handle routine work. Every audience got a view built for them: a simple request form for departments, workload views for managers, and detailed tools for project managers. Scattered requests became one structured intake, the foundation that later made an automated priority ranking engine possible.
Result
The platform replaced every legacy tool and connected to Outlook, SharePoint, and Microsoft Teams, so people could request and track work in the tools they already used every day. Requestors, freelance vendors, project managers, department managers, and C-suite leaders worked from the same information for the first time. Work that had been reactive and stressful became proactive and planned, and the structured data became the base for the systems that followed.
